01
Who this policy is from
This policy explains how Heather Keys ("I", "me", "my") handles personal information collected through heatherkeys.com and the pages on it, including the Proof Process Assessment, email signups, and the Proof of Mind podcast pages.
I am an independent practitioner based in Calgary, Alberta, Canada. For any privacy question, or to make a request about your information, write to heather@heatherkeys.com.
You can read most of this site without giving any personal information. Information is collected only when you choose to send a message, take the assessment, or subscribe to email.
02
Information you give me
I only receive what you choose to submit. In practice that is:
- Contact form: your name, email address, the topic you select, and your message. Nothing is stored in the website database, the message is delivered to my inbox by email.
- Proof Process Assessment: your first name, email address, and the answers you choose or write. Your individual answers are used to generate your result. The saved record holds your name, email, the orientation identified, and the written reflection shown to you.
- Email signups (The Sacred In-Between guide, Experience the Work, the free video series, practitioner training): your email address, and your first name where the form asks for it. For assessment signups, the consent wording and the time you gave it are recorded alongside your email.
- Emails you send me directly, which contain whatever you include in them.
03
Information collected automatically
This site uses Google Analytics 4 to understand which pages are useful. It records the page path you visit, with any query string or token removed, along with approximate location (city level), device and browser type, referring page, and time of visit. Visitor details entered into a form or assessment are not sent to Google, and my private admin pages are excluded from measurement.
The service that hosts this site also keeps standard technical logs, such as IP address and request time, for security and reliability.
04
Why I use your information
Your information is used to:
- Reply to your message or inquiry.
- Deliver your assessment report and the private link to your result.
- Send the emails you asked to receive, and keep a record of your consent.
- Understand which pages and topics are most useful, so the site can improve.
- Keep the site secure, prevent spam and abuse, and meet legal obligations.
05
Cookies and analytics
Google Analytics sets first-party cookies (named _ga and _ga_ followed by an identifier) through googletagmanager.com. These cookies last up to two years by default and are used to recognise returning visits and count page views.
Advertising features are switched off: there is no remarketing, no advertising personalisation signal, and no cross-site advertising profile built from this site.
Email signup forms are provided by Kit (ConvertKit), and episode pages can embed YouTube or Spotify players. Those services may set their own cookies when their form or player loads.
You can block or delete cookies in your browser settings at any time. Blocking cookies may stop the email forms or embedded players from working properly.
06
Service providers who handle your information
I use a small number of established services to run this site. They process information only for the purposes described above and are not permitted to use it for their own marketing.
- Base44: website hosting, database, and the backend functions that handle contact and assessment submissions.
- Resend: delivery of the emails generated by the contact form and the assessment report.
- Kit (ConvertKit): email list management, consent confirmation, and the signup forms for my guides and series. Unsubscribing is handled there.
- Google Analytics (Google LLC): anonymous, page-level traffic measurement.
- YouTube (Google LLC) and Spotify: if you play an embedded episode, that provider loads its player and applies its own policies.
07
Sharing, selling and international processing
I do not sell, rent, or trade personal information. Information is shared only with the providers listed above, or where I am required to disclose it by law.
Some of these providers store information in the United States or elsewhere outside Canada, so your information may be processed in another country under that provider's safeguards.
08
How long information is kept
- Contact messages stay in my email until the conversation is finished and any records I need for my practice no longer require them.
- Assessment records (your name, email, and saved result) and signup consent records are kept for as long as the record is useful, or until you ask me to delete them.
- Email subscribers are kept until you unsubscribe or ask to be removed. After unsubscribing, a minimal record is retained so that you are not emailed again by mistake.
- Analytics data is kept for the retention period set in my Google Analytics account. If you want to know the current setting, just ask.
09
Your choices and privacy requests
Every email I send includes an unsubscribe link, and you can also reply to any email asking to be removed.
To access, correct, or delete information I hold about you, email heather@heatherkeys.com from the address you used and tell me what you would like changed. I will respond as soon as I reasonably can, and will confirm what was done.
If you ask me to delete an assessment record, the private link to that result will stop working.
10
Children
This site is intended for adults and is not directed at children. Please do not submit personal information if you are under 16. If a child has submitted information, email me and I will delete it.
11
Security and sensitive information
Access to your information is limited to me and the providers listed above, and reasonable safeguards are in place. No website or email system can be guaranteed completely secure, so please share only what is needed.
The contact form and email are not monitored continuously and are not an emergency or crisis service. If you need urgent help, contact your local emergency services or a crisis line where you live.
12
Changes to this policy
If my practices change, this page will be updated and the date at the top will change. Material changes will be described here.
